VEAP is seeking an individual to serve as our Bilingual Participant Services Coordinator with a passion for working for a mission-based organization to serve as the consistent staff presence for VEAP program participants and on-site intake volunteers. This person will collaborate across departments (Social Services, Food & Basic Needs and Volunteers) building a warm and welcoming environment for our participants as they arrive at VEAP’s facility to access our food, housing and social services programs. Appreciating the rich diversity of the communities VEAP engages with, the person in this position will train and support volunteers to create a safe space in which to facilitate an intake process that reflects VEAP’s values, mission and vision for all people who are accessing our program supports.

POSITION TITLE: Participant Services Coordinator (Bilingual: Spanish‐English)
TYPE: Full Time | Hourly | Non‐Exempt
REPORTS TO: Social Services Director
SALARY: $39,500 ‐ $42,500

POSITION RESPONSIBILITIES:

On-Site Intake

  • Provide staff presence for participant and volunteer engagement at on-site intake during business hours
  • Work with Basic Needs and Social Services teams to coordinate and update on-site intake experience and all intake materials
  • Train and support volunteers to utilize ClientTrack for program and services intake
  • Identify and implement initiatives to create a welcoming, compassionate and efficient intake process for participants and volunteers
  • Respond to participant inquiries and serve as a resource for both volunteers and participants
  • Troubleshoot issues that arise during intake
  • Organize intake area and distribution materials and ensure proper sanitization
  • Monitor volunteer and/or participant shopping flow and coordinate shopping supplies as needed
  • Ensure intake materials are available in multiple languages
  • Support Spanish-speaking participants and coordinate language supports for non-English speaking participants
  • Ensure confidentiality and accuracy of data and deliver daily intake forms to Social Services
  • Support and manage Hennepin County intake flow relationship

Volunteer Management

  • Welcome, train and supervise volunteers (on-site intake and/or distribution) and ensure they are properly informed and resourced at the beginning of their shift
  • Serve as primary contact to intake/distribution volunteers throughout the day
  • Cover for intake volunteers when they take a break during their shift
  • Provide feedback and training to intake/distribution volunteers and modify training documents
  • Work with Volunteer Department to ensure proper on-site intake volunteer staffing and training

Program Support

  • Collaborate with phone intake staff lead to create efficiencies in on-site and phone intake processes
  • Maintain a broad knowledge of community resources and inform participants of relevant resources
  • Organize and update community resource print materials for Social Services department
  • Offer support to participants by providing eligibility information, conducting basic assessments and disbursing gas/bus/grocery cards
  • Support ongoing program strengthening efforts
  • Translate internal documents and marketing materials into Spanish language
  • Coordinate with community partners for on-site collaborative services and visits/tabling
  • Provide back-up phone intake leadership support as needed
  • Provide database support through data entry and occasional oversight of database volunteers

EDUCATION AND EXPERIENCE:

Required:

  • Bilingual, Spanish & English (fluent oral and written abilities)
  • Associate’s degree or a minimum of 2 years customer or client service experience (in a human services setting is preferred)
  • Passion for working for a mission-based organization and a deep appreciation for the rich diversity in the communities with which VEAP engages
  • Approachable and a good listener
  • Demonstrated cultural competence with a focus on equity and inclusion
  • Strong advocate for people living in poverty
  • Strong verbal and written communication skills
  • Ability to plan, direct and review the work of others with confidence and clarity
  • Commitment to work collaboratively with staff, volunteers and partners while modeling VEAP’s values
  • Motivated self-starter who thrives on working in a space of innovation
  • Ability to appropriately engage with sensitive and/or confidential matters
  • Proficiency in Microsoft Office and relational databases
  • High attention to detail and flexible in nature
  • Ability to work well under pressure
  • Excellent problem-solving, time management and organizational skills
  • Position requires ability to stand or sit for extended periods of time, close vision, ability to adjust focus and see color
  • Must occasionally lift and/or move up to 25 pounds and occasionally required to climb or balance and stoop, kneel, crouch or crawl

Preferred

  • Experience working with under-served or vulnerable populations, including persons from diverse racial, ethnic, and economic backgrounds, as well as with mental health and/or behavioral issues
  • Experience supervising volunteers and assisting in volunteer coordination
